Job Description:

Provide daily administrative support for the Center of Continuing and Professional Studies (CCPS) financial purposes, such as, but not limited to, processing instructor timesheets and all other paperwork related to instructor payments for adult and Precollege instructors, supporting the CCPS and Precollege leadership with maintaining timely and accurate control of the CCPS accounts payables and receivables, revenue and expense reporting, vendor management, and coordination of departmental and classroom supplies. Assist contract programs with reporting and processing for grants, companies, and other entities.

Responsibilities:
  • Review, analyze, and reconcile department lines, revenue and expense accounts, and departmental general spending.
  • Process and monitor program-related payroll, action forms, and reimbursements for Adult and Precollege instructors, ensure the receipt of payment certifications, collect all related payment paperwork, maintain adequate supporting documentation, and monitor overall transaction processing for supplies and other spending.
  • Ensure timesheet processing meets the Colleges operational standards.
  • Process department travel and expense reports.
  • Upload faculty information into the CCPS registration systems, assign faculty to their courses, and process any manual adjustments as needed. Generate appropriate reporting to confirm transaction reconciliation.
  • Interact and work on projects with other College office staff as required.
  • Provide payroll and other appropriate departments with all necessary information for all types of payments.
  • Operate as the purchasing agent for CCPS and Precollege supplies, software, office furniture, and equipment.
  • Reconcile key accounts on a periodic basis and for annual budgeting purposes.
  • Accept other duties upon assignment.

Requirements:

Minimum Qualifications:
  • Bachelor's degree degree in Business, Accounting, Finance, or a related field.
  • 2- 4 years of appropriate business experience.

Knowledge, Skills, & Abilities:
  • Demonstrated ability to work in a financial capacity within an organization requiring the constant processing of transactions, reconciliation of information, and ongoing analysis of financial metrics.
  • Strong mathematic skills with ability to reconcile departmental accounts.
  • Mid-level to advanced skills in Microsoft Excel with demonstrated technical skills in the areas of pulling and analyzing enterprise system reports.
  • Ability to assess financial compliance risks, prioritize tasks, and communicate areas of concern to department leadership regarding financial transactions, vendor relationships, and expense considerations.

Please note, all offers of employment are contingent upon successful completion of the background check process.

Salary

Salary: $66,313.10 to $71,066.01 per year; commensurate with experience and qualifications.

The UCE-FIT Collective Bargaining Agreement (CBA) dictates the compensation, benefits, and conditions of employment. Hiring Salary: $66,313.10 per year with step increments per Salary Schedule 92, after one year of service and annually thereafter.

Work Schedule

Days/Hours: M-F, 9am-5pm, in person; work schedule subject to change based on needs of the department.

Physical Requirements and Work Environment

The working conditions for this position will be primarily in an office. The physical requirement for this position will require frequent sitting and frequent standing.
